This document applies to Maid2Hire, including our website, product, SMS workflows, dashboards, and related services.

Overview

This Privacy Policy explains how Maid2Hire and its operators, affiliates, successors, and assigns, referred to as "Maid2Hire," "we," "us," or "our," collect, use, disclose, retain, and protect personal information in connection with our website, SMS screening services, candidate dashboard, interview scheduling workflows, communications, integrations, and related services.

This Privacy Policy applies to business customers, authorized dashboard users, job applicants and candidates who interact with our SMS workflows, website visitors, demo requesters, and other individuals who interact with us.

If you are a job applicant or candidate, the company using Maid2Hire to screen or schedule you may also have its own privacy policy and legal obligations. Maid2Hire acts as a service provider, processor, vendor, or similar role for many candidate-related workflows, depending on the customer relationship and applicable law.

Information We Collect

We may collect the following categories of information:

  • Contact information, such as name, phone number, email address, company name, job title, and business contact details.
  • Account and business information, such as login credentials, tenant or customer identifiers, business profile details, service areas, pay ranges, work schedules, job requirements, screening questions, calendar availability, interview locations, and preferences.
  • Candidate and applicant information, such as name, phone number, SMS messages, screening answers, language preference, experience, transportation details, availability, service area fit, location-related details, interview scheduling choices, status, ratings, notes, and conversation history.
  • Communications information, such as demo requests, emails, support messages, SMS opt-in and opt-out records, HELP requests, confirmations, reminders, rescheduling messages, and administrative replies.
  • Usage, device, and technical information, such as IP address, browser type, device identifiers, pages viewed, referring URLs, timestamps, logs, cookie identifiers, approximate location from IP address, and interactions with the Services.
  • Integration information, such as information exchanged with SMS providers, calendar providers, AI providers, hosting providers, database providers, analytics providers, mapping providers, payment processors, and other connected tools.
  • Billing and transaction information, such as subscription tier, invoices, payment status, billing contact information, and limited payment metadata. Payment card details, if used, are typically processed by payment processors and not stored directly by us.

We may also infer or generate information from the data above, such as candidate summaries, extracted answers, screening progress, language classification, scheduling status, fit indicators, and operational analytics.

Sources of Information

We collect information from:

  • You, when you visit the website, request a demo, configure the Services, use the dashboard, contact support, or communicate with us.
  • Candidates and applicants, when they text a screening number, answer questions, request help, opt out, schedule interviews, reschedule, or otherwise communicate through the Services.
  • Business customers and authorized users, who may provide candidate information, job details, calendar availability, notes, ratings, statuses, and other information.
  • Service providers and integrations, such as SMS platforms, calendar services, AI providers, hosting providers, analytics tools, mapping providers, and payment processors.
  • Automatically through cookies, logs, pixels, analytics tools, device identifiers, and similar technologies.

How We Use Information

We use information to:

  • Provide, operate, maintain, secure, and improve the Services.
  • Conduct SMS-based applicant screening, follow-ups, candidate support, opt-out handling, and candidate conversation management.
  • Create candidate profiles, extract screening answers, summarize conversations, organize statuses, support ratings and notes, and provide dashboard review tools.
  • Schedule interviews or trial days, propose available times, create calendar events, send confirmations, send reminders, and support rescheduling.
  • Configure business profiles, screening questions, job information, service areas, pay details, schedules, calendar availability, and customer preferences.
  • Respond to inquiries, provide demos, onboard customers, provide support, send administrative messages, and communicate about the Services.
  • Analyze performance, usage, reliability, conversion, candidate drop-off, screening completion, and service quality.
  • Develop and improve features, workflows, templates, prompts, analytics, automation, and AI-assisted functionality.
  • Detect, prevent, investigate, and respond to fraud, abuse, security incidents, spam, illegal activity, policy violations, and technical issues.
  • Comply with legal obligations, enforce agreements, resolve disputes, and protect the rights, safety, and property of Maid2Hire, customers, candidates, and others.

AI and Automated Processing

The Services may use AI, language models, extraction tools, classification tools, scoring tools, and automation to process candidate messages, generate assistant replies, extract answers, summarize conversations, identify follow-up needs, assist with interview scheduling, and organize information for customer review.

AI outputs may be inaccurate, incomplete, delayed, or biased. Maid2Hire is designed to support human review and customer decision-making, not to replace individualized assessment or legal compliance obligations.

We may use de-identified, aggregated, or otherwise privacy-protective information to evaluate and improve the Services. We do not use candidate personal information to train third-party foundation models unless permitted by applicable agreements and law.

How We Disclose Information

We may disclose information to:

  • Business customers and their authorized users, including candidate information, messages, extracted answers, scheduling information, statuses, ratings, notes, and dashboard activity.
  • Service providers and subprocessors that help us provide hosting, databases, SMS delivery, calendar integrations, AI processing, analytics, mapping, payment processing, security, monitoring, customer support, and other operational services.
  • Integration partners when you connect or use third-party tools, such as SMS providers, calendar providers, job boards, analytics platforms, or other business systems.
  • Professional advisors, such as attorneys, accountants, auditors, insurers, and consultants.
  • Government authorities, courts, law enforcement, regulators, or other parties when we believe disclosure is required or appropriate to comply with law, legal process, or lawful requests.
  • Parties involved in business transactions, such as a merger, acquisition, financing, reorganization, bankruptcy, asset sale, or transfer of all or part of our business.
  • Others with consent, at your direction, or as otherwise described when information is collected.

We may disclose aggregated, de-identified, or anonymized information that does not reasonably identify an individual.

Cookies and Analytics

We may use cookies, pixels, local storage, log files, analytics tools, and similar technologies to operate the website, remember preferences, measure performance, understand usage, improve the Services, and support security.

You can control cookies through your browser settings. Disabling cookies may affect website or dashboard functionality.

We do not currently describe the Services as using sensitive personal information for cross-context behavioral advertising. If that changes, we will update this Privacy Policy and provide choices required by applicable law.

We retain personal information for as long as reasonably necessary to provide the Services, comply with legal obligations, resolve disputes, enforce agreements, maintain security, preserve business records, honor opt-outs, support audits, and fulfill the purposes described in this Privacy Policy.

Retention periods may vary depending on the type of information, customer settings, legal requirements, provider requirements, account status, and operational needs. Customers may request deletion or export of certain information, subject to legal, contractual, technical, and operational limits.

We use commercially reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, and disclosure.

No method of transmission or storage is completely secure. We cannot guarantee absolute security, and you are responsible for maintaining the security of your devices, accounts, passwords, integrations, and authorized users.

Privacy Rights and Choices

Depending on where you live and your relationship with the Services, you may have rights to request access, correction, deletion, portability, restriction, objection, withdrawal of consent, or information about certain disclosures of personal information.

If you are a candidate whose information is processed on behalf of a Maid2Hire customer, we may direct your request to that customer or assist the customer in responding, depending on our role under applicable law.

California Privacy Notice

This section is intended to provide additional information for California residents. The categories of personal information we may collect include identifiers, customer records information, commercial information, internet or electronic network activity information, geolocation-related information, professional or employment-related information, inferences, and sensitive personal information where voluntarily provided or necessary for the Services.

We collect and disclose these categories for the business and commercial purposes described in this Privacy Policy, including providing the Services, customer support, analytics, security, compliance, communications, and service improvement.

We do not sell personal information for money. We do not knowingly sell or share personal information of individuals under 16. We do not use sensitive personal information for purposes that require a right to limit under California law unless we provide the required notice and choice.

The Services are operated from the United States. If you access the Services from outside the United States, you understand that information may be processed in the United States and other jurisdictions where our service providers operate.

Where required, we rely on appropriate legal mechanisms for international transfers of personal information.

Children

The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. The Services are intended for business recruiting workflows and applicants who are legally eligible to apply for the relevant work.

Customer Role and Candidate Requests

For many candidate workflows, the Maid2Hire customer determines the purpose and means of processing candidate information, including job requirements, screening questions, interview criteria, calendar availability, hiring decisions, and retention instructions.

Maid2Hire processes candidate information to provide the Services to the customer. Candidates should also review the hiring company's privacy notices and may need to contact that company directly for employment-related requests.

Changes to this Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will take reasonable steps to provide notice, such as posting the updated policy, updating the effective date, emailing account contacts, or providing notice through the Services.

Your continued use of the Services after the updated Privacy Policy becomes effective means you acknowledge the updated policy.
